Integrating Your BI Data with SplitMetrics Acquire

Explore our step-by-step guide for seamless BI integration and leverage your BI system's data for unified and actionable insights.

SplitMetrics Acquire offers an advanced solution that integrates your Business Intelligence (BI) data with our platform, enabling you to gain insights into all funnel levels.   • We don't whitelist for BIs. Any BI system that can send files, including internally developed custom solutions, is acceptable.

  • The BI integration is done through a CSV file that is sent automatically from your side to SplitMetrics Acquire daily.

Before you start the integration process, review the steps outlined below and inform your Customer Success Manager of your intention to integrate your internal BI data so they can provide the example file and dedicated email.

To prepare the export file, ensure that your BI system is properly configured to automatically generate the required report in CSV format. The export file should contain all the relevant data and must be accurately formatted, based on the specifications outlined in the example file we'll provide you with.

โ— Note. The required file structure will vary depending on whether your BI system collects storefront data at the keyword level for countries or regions, and if having data segmented by storefronts in SplitMetrics Acquire is crucial for your needs.

While preparing the file, it is important to keep in mind that:

๐Ÿ‘‰ The file title should automatically update daily to reflect the date and time of the report, following this format: bi_2023-12-23T1306.

๐Ÿ‘‰ The report must include significant metrics that are used for daily optimizations.

๐Ÿ‘‰ We can support up to 50 different metrics, which can be either quantitative or based on monetary values. For example, Corrected installs, Net Revenue, and Predicted LTV.

๐Ÿ‘‰ It is essential to maintain the strict order of fields in the export and ensure that all required columns are present without any missing columns.

๐Ÿ‘‰ If you want to implement percent metrics, contact your Customer Success Manager and provide details on how you want to calculate them. Similarly, if you wish to include cohort metrics in your report, please reach out to your Customer Success Manager, and provide specific details related to your particular case.

ะกonsider data calculation methodologies for BI metrics:

To tailor your BI metrics to align with your specific goals and strategies, we support three calculation methodologies. While preparing an export file, specify for your Customer Success manager the preferred calculation method for each metric.

  • SUM (Default): We calculate and provide the numerical total value in a dataset across entities.

  • AVERAGE: We show the numerical average value in a dataset across entities (keywords, ad groups, campaigns, days).

  • CURRENT: We calculate the numerical last received value in a dataset across entities (keywords, days). Please be aware that for Ad groups and Campaigns, the current value should be sent as separate rows.

If no preference is specified, we will use the SUM methodology by default for your data representation.

When it comes to sharing an export file, It is highly recommended that the file is sent directly from your BI system to SplitMetrics Acquire. This ensures that the data transfer process is secure, reliable, and efficient. On the other hand, sending the file manually can cause potential problems such as corrupted files, incorrect data, or missing days.

To ensure an accurate representation of event data using our BI integration, please follow these instructions when sending us files:

  1. Include Aggregated Sums: In each file you send, make sure to provide aggregated sums of events associated with each keyword. This helps us understand the overall performance of your keywords.

  2. Retrospective Updates: Update the data in your files retrospectively. If a keyword had different event counts on different dates, reflect these changes accordingly. For instance, if the keyword had 100 trial events on August 23rd and 150 trial events on August 24th, ensure that the file for August 24th contains the updated value of 150 trial events for that keyword.

  3. Consistent Data Handling: When a keyword is present in your new file but no events are added to it, maintain the previous event count for that keyword. This ensures that we have a comprehensive view of keyword performance, even during periods of no activity. Conversely, if you're specifying 0 events for a keyword in the new file, this will replace the previous count.

  4. Preserve Historical Values: For keywords that aren't included in your new file, we'll retain their previous values. This helps us maintain a complete historical record, ensuring that your data remains accurate and insightful.

  5. Install date VS Event Date Processing: Please note that with our BI integration, event data is available grouped by the user acquisition date (install date) or the event chronological date.

    • If youโ€™re grouping events using the install date, ensure that you update the event number in the new file historically. For instance, if the keyword had 100 installs on August 23rd, then 10 purchase events on the same day and 10 on the next day (August 24th), ensure that the file for August 24th contains the updated value for August 23rd of 20 purchase events for that keyword.

    • If youโ€™re grouping events using the event date, ensure that you add new dates for new events in the new file. For instance, if the keyword had 100 installs on August 23rd, then 10 purchase events on the same day and 10 on the next day (August 24th), ensure that the file for August 24th contains the new row with August 24th and the value of 10 purchase events for that keyword.

By following these steps, you'll provide us with files that are populated with the correct and up-to-date event data. This allows us to present your keyword performance accurately and provide you with the best possible insights.

After preparing the export file, the next step is to choose the appropriate export option that aligns with the requirements provided by your SplitMetrics Customer Success Manager.

For a seamless and reliable data transfer, we recommend one of the following options for exporting your file:

  • Using a dedicated email address in the splitmetrics.com domain

  • SplitMetrics AWS bucket

If you choose to use a dedicated email address, the Customer Success Team will provide you with the necessary information. This option allows you to simply email the file as an attachment to a dedicated email address, and it will be automatically uploaded to your SplitMetrics account. ๐Ÿ”Ž Learn more by clicking the โ–บ sign.

Automated daily export from Looker to CSV

To export CSV files from Looker and receive them via email, follow these steps:

  1. Create a Look or Dashboard in Looker that contains the desired data.

  2. Open the Look or Dashboard in Looker's web interface and click the Share or Export button.

  3. Choose CSV as the export format and select options such as data format and delimiter.

  4. Turn off Include visualization options.

  5. Click Send or Email and enter the email addresses, subject, and message for the email.

  6. Set up additional settings such as scheduling recurring deliveries.

  7. To ensure accuracy and reliability, upload data after all calculations and aggregations are complete.

  8. Click Send or Schedule to initiate the export and email delivery process.

Note. These specific steps and options may vary depending on your version and configuration of Looker. Refer to Looker's official documentation or contact your Looker administrator for more detailed instructions.

Automated daily export from Tableau to CSV

To automate the daily export of CSV files from Tableau and receive them via email, follow these steps:

  1. Publish the Tableau view or dashboard to Tableau Server or Tableau Online.

  2. Navigate to the view or dashboard on Tableau Server or Tableau Online that you want to schedule for export.

  3. Click the menu (...) button next to the view or dashboard name, and select Subscribe or Download depending on your Tableau version.

  4. In the Subscribe (or Download) window, specify the desired settings for your CSV export, such as the format, file name, and delimiter.

  5. Choose Email as the delivery method and enter the email addresses, subject, and message for the email.

  6. Set the daily schedule for the export.

  7. Click Subscribe (or Download) to save your settings and set up the scheduled export.

Note: Setting up scheduled exports of CSV files from Tableau to email requires appropriate permissions and access to Tableau Server or Tableau Online. Consult with your Tableau Server or Tableau Online administrator and follow your organization's policies

๐Ÿ”ท No-code export from BI to AWS S3 (by Splitmetrics Inc.)

Alternatively, you can use the AWS bucket or GCS storage to transfer the file. With these options, you will need to provide access credentials and ensure that the file is uploaded to the correct location.

Automated daily export from BI to SplitMetrics Acquire AWS S3

To integrate with SplitMetrics Acquire S3 bucket, you'll need to create either a user or a role. Here are the formats to use for creating them:

  • User: arn:aws:iam::AccountNo:user/UserName

  • Role: arn:aws:iam::AccountNo:role/RoleName

The following data is required to set up the integration:

  • Bucket: spm-bi-data-external-[clientName]

  • Arn: arn:aws:s3:::spm-bi-data-external-[clientName]

  • Account ID: by request

Note. You can request bucket, arn, and account ID from your Customer Success Manager, and they will provide you with the necessary information.

To ensure that your SplitMetrics account is updated regularly with the latest data, set up an automated daily export of the CSV file ๐Ÿ“†

Configuring your BI system to automatically export the file to the chosen export option on a daily basis can be done through the scheduling or automation features provided by your BI system. This will allow you to automate the export process, ensuring that your data is delivered efficiently and on time to your chosen export destination.

After setting up the automated daily export, it is important to obtain Tech and Support Teams' approval to ensure that the file meets the system's requirements. Our Teams will diligently review the file, verifying its data integrity and accuracy, and will gladly help you address setup inconsistencies, if any.

After obtaining Tech Team approval, the CSV file will be automatically integrated into the SplitMetrics Acquire platform and updated daily with the latest data. All you have to do is make sure to add the BI metrics to your column presets.

With this step complete, you will be able to view your BI system's data within the SplitMetrics platform for the automated rules, insights on charts, and generated reports, all in one place.

After successfully integrating your BI system's data into the SplitMetrics Acquire platform, it is important to monitor it regularly to ensure that it is accurate and up-to-date.
